This explains what Paw Diary collects, why, and what you can ask us to do about it. It is written to be read rather than to be impressive.
Who we are

Two different sets of data
This matters, because our responsibilities differ between them.
Your account
Information about you as a dog walker — your name, email, business name, contact details, subscription status. We decide how this is used, so in data protection terms we are the controller for it.
Your clients and their dogs
Everything you enter about the people whose dogs you walk — names, addresses, phone numbers, access instructions, vets, emergency contacts, dogs' medical notes. This is your data about your clients. You decide what to collect and why; we only store and process it so the app works. You are the controller and we are the processor.
In practice that means we do not look at it, we do not use it for anything of our own, and our internal admin tools deliberately cannot show it — they display account-level counts only, never client records. It also means that if one of your clients asks you what you hold about them, that request is yours to answer, and we will help you do it.
What we collect and why
- Account details — to give you an account, sign you in and contact you about the service.
- The information you enter — clients, dogs, bookings, invoices, notes — because that is what the app is for.
- Payment records — that you are subscribed, when it renews, the amount. We never see or store your card details; those go directly to Stripe.
- Technical logs — errors and request records, kept briefly, so faults can be found and fixed.
We do not use tracking cookies, we do not run advertising, and we do not sell or share data with anyone for marketing. This website sets no cookies at all.
Sensitive details
Keysafe codes are encrypted before they are stored, using a key held outside the database, and every time one is revealed in the app it is recorded with who did it and when. They cannot be read by us from the database.
Who else processes it
We use a small number of suppliers to run the service. Each only receives what it needs:
- Supabase — database, sign-in and file storage.
- Microsoft Azure — hosting for the app and this website.
- Stripe — subscription payments. They handle card details; we do not.
- Resend — sending the emails the app generates.
- Google or Microsoft — only if you connect a calendar, and only to write your own walks into it. Disconnecting stops it immediately.
How long we keep it
For as long as you have an account. Moving to the free plan or cancelling a subscription does not delete anything — your records stay so they are there when you come back. If you ask us to close your account, we delete your data within 30 days, except anything we are legally required to keep, such as invoice records for tax purposes.
Where it is held
Data is stored in the United Kingdom or European Economic Area. Where a supplier processes data elsewhere, that transfer is covered by the safeguards required under UK data protection law.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Email hello@pawdiary.online and we will respond within 30 days. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If this changes in a way that affects you, we will email you rather than quietly updating the date at the top.
