Getting started

Do I have to install anything?
No. It runs in your phone’s browser. You can add it to your home screen so it opens like an app, but there is no App Store download and nothing to keep updated.
Does it work on an iPhone?
Yes, and on Android, and on a laptop. One thing worth knowing about iPhones: notifications only work once you have added it to your home screen. That is an Apple rule rather than ours, and the app explains it when you turn notifications on.
How long does it take to set up?
Adding your first client and booking a walk takes a few minutes. Putting a full round in takes longer, and it is worth doing during the trial while everything is unlocked.
Can I move my existing clients across?
They go in by hand at the moment — there is no spreadsheet import yet. If you have a lot of clients and that is the thing stopping you, get in touch and we will sort something out.

Out on the round

What happens when I have no signal?
Today’s walks and your emergency details are kept on the phone, so you can still see who you are walking, where, and who to call. Changes you make sync when you get signal back.
Can I call a client from the app?
Yes. Their number, the vet, the out-of-hours vet and the emergency contact all dial straight from the booking, and there is a WhatsApp option if you use it.

Your clients

Can my clients see each other’s details?
No. A client signing in sees their own walks, their own dogs and their own invoices, and nothing else exists as far as their account is concerned.
Do clients need a password?
No. They enter their email and get a link to sign in. It is one less thing for them to forget and one less thing for you to reset.
Can a client book themselves in without me agreeing?
No. Anything they send is a request. It sits in your requests list until you approve it, decline it, or suggest a different time.

Data and privacy

Is my client information safe?
Each walker’s data is separated at the database level, not just hidden in the app, so one account cannot read another’s under any circumstances. Keysafe codes are encrypted and every time one is shown it is recorded.
Can you see my clients’ addresses and keysafe codes?
No. The admin tools we use to run the service deliberately show account-level numbers only — how many clients you have, not who they are. Your clients never agreed to anything with us, so their details are not ours to look at.
Can I get my data out?
Yes. Ask and we will send you everything held about your account. It is your business’s information and you should not have to leave it behind to leave.
What happens to it if I stop using Paw Diary?
It stays as it is. Dropping to the free plan does not delete anything, and if you ask us to close the account entirely we remove it properly rather than just hiding it.

Money

Does it take payments from my clients for me?
Not yet. It creates and tracks invoices, and records payments you have received. Taking card payments from clients directly is planned but not built, and we would rather say so than imply otherwise.
What if I stop paying?
Nothing is deleted. Your 3 most recently walked clients stay active, the rest become read-only, and you can still invoice everyone. Subscribing again puts it all back straight away.
